How do You Learn to Organise your Time as a CEO?

Many CEOs confuse busyness with effectiveness. Often, less is more, but this isn’t something you find; it’s something you create with intention.

So, how can CEOs do this?

Most CEOs don’t improve their effectiveness by doing more. They improve it by pausing to reflect on how they work — something many rarely do. It sounds paradoxical, but the key to mastering your calendar is dedicating time to examine how you spend it. Few executives actually do this.

The higher your role, the busier your days become. Meetings, emails and decisions multiply, and the time spent thinking about what truly matters shrinks. Yet the opposite should happen: the greater the complexity and speed, the more essential it is to step back, prioritise and plan deliberately. And the more important it becomes to say no and choose your battles.

A simple question worth considering: when was the last time you blocked time — not for a meeting or a deliverable — but simply to think about how you’re spending your days?

If the answer is “I can’t remember,” that may be your biggest signal.

The counterintuitive truth: time isn’t scarce because there’s too much to do. It’s scarce because most people never reserve time to manage it well — while saying yes to everything.

The first step isn’t a new system, a better app or a better assistant. It’s a recurring appointment with yourself.
